Automatic Payment Reminders

Due On Time sends polite payment reminder emails to your client after an invoice's due date, on the schedule you pick, and stops as soon as the invoice is paid. Reminders are on the Starter and Pro plans.

Starter has a 7-day free trial. Card needed.

How it works

  1. Send the invoice

Email the invoice to your client from Due On Time. The reminder setup opens right after you send it.

  2. Pick a schedule

Choose a preset, such as 3, 10 and 20 days after the due date, or set your own days.

  3. Let it run

Each reminder goes out by email at the hour you choose, with a link to the invoice and a Pay now button if you take online payments.

  4. It stops when they pay

When the invoice is marked paid, or the client pays online, the remaining reminders are cancelled.

When are the reminders sent?

Reminders are sent after the due date, counted in days from it. Pick one of the presets or choose your own days:

  • Gentle: 3, 10 and 20 days after the due date
  • Standard: 5 and 15 days after the due date
  • Aggressive: 1, 7, 14 and 21 days after the due date (4 reminders, so Pro only)
  • Custom: any days you choose, at least 1 day after the due date (Pro)

What do the reminder emails say?

Each preset comes with a polite subject and message that fills in the client's name, the invoice number, the amount still owed and the due date. After the reminders are set up, you can edit the subject and message of each one, skip one, or send one now.

The email comes from your business name via Due On Time, and replies go straight to your own email address. Every reminder has a button to view the invoice online, and a Pay now button when you accept online payments.

On Pro, the AI Reminder Writer drafts or rewrites a reminder in the tone you pick: gentle, friendly, urgent or final notice.

What time do reminders go out?

You choose the hour in Settings, 9 a.m. by default. When your client is in another time zone, you can send at that hour in the client's time or in yours.

What happens when the client pays?

When you mark the invoice as paid, or the client pays it with Pay now, the reminders still waiting are cancelled. If the client pays part of it, reminders keep going and show the balance still owed. Reminders on a draft wait until the invoice is sent.

What it does not do

  • Reminders are sent after the due date only, not before it.
  • Reminders are sent by email only, not by text message or WhatsApp.
  • Starter sends up to 3 reminders per invoice; Pro has no limit.

Frequently asked questions

How do automatic payment reminders work?

After you email an invoice from Due On Time, you pick a schedule of days after the due date. On each of those days, at the hour you choose, Due On Time emails the client a polite reminder with a link to the invoice. The reminders stop when the invoice is paid.

Can I change the wording of the reminders?

Yes. Each preset has ready-made wording, and after setup you can edit the subject and message of every reminder. On Pro you can also write custom reminders from the start and use the AI Reminder Writer.

Do reminders stop when the client pays?

Yes. Marking the invoice as paid, or a payment through Pay now, cancels the reminders that have not been sent. A part payment keeps them going, with the new balance.

Can Due On Time remind clients before the due date?

No. Reminders start at least one day after the due date. To nudge a client before it, send them a short email yourself.

Are payment reminders free?

No. Automatic reminders are on Starter ($12/month, up to 3 per invoice) and Pro ($27/month, unlimited). The Free plan can make and download invoices but does not send them. Starter has a 7-day free trial.

Will my client know the reminder is automatic?

The email comes from your business name via Due On Time and replies go to you, so it reads like a normal email from you. The footer says it was sent by Due On Time on your behalf.
