Per visit, per hour or flat rate: how to write each line

Price the regular cleaning the way you quoted it, so the invoice matches what the client agreed to.

  • Per visit: quantity = the number of visits, price = the price per visit (for example 4 × $140).
  • Per hour: quantity = the hours, price = your hourly rate. Name the dates and the number of cleaners in the description.
  • Flat monthly rate: quantity = 1, price = the monthly fee, with the month in the description.

Invoicing regular clients

For weekly or every-other-week clients, send one invoice a month that lists the visit dates, rather than one invoice per visit. It saves you time and gives the client one payment to make.

Decide whether you bill at the start of the month, before the visits, or at the end, after them, and keep to it. Put extras on their own lines with the date, so the client can see why this month's total is different.

On the Starter and Pro plans, Due On Time can create the monthly invoice for you on a schedule, as a recurring invoice.

Commercial and office cleaning

Office clients often pay only invoices that quote their purchase order (PO) number and match the cleaning contract. Put the PO number, the site address and the contract period in the notes.

If you clean several sites for one client, give each site its own line, or its own invoice if the client pays them from different budgets.

Frequently asked questions

What should a cleaning invoice include?

Your business details, the client and the service address, an invoice number and dates, the visit dates, the regular cleaning, extras and supplies on their own lines, any agreed fees, sales tax if it applies, the total, the payment terms and how to pay.

How do I invoice weekly cleaning clients?

Send one invoice a month that lists every visit date, with the number of visits as the quantity and your price per visit as the unit price. Add extras on their own lines with the date.

Should I charge for cleaning supplies on the invoice?

Only if your quote said supplies are extra. Most cleaners include standard supplies in their price and charge only for special products the client asks for. Put any supply charge on its own line.

Do cleaning businesses charge sales tax?

It depends on the state and on the kind of cleaning. Some states tax some cleaning services, for example for businesses, and others do not. Check with your state tax agency or an accountant.

Is this cleaning invoice template free?

Yes. Fill it in and download the PDF for free. You do not need an account, and the PDF has no watermark.

Can Due On Time send cleaning invoices every month for me?

Yes, on the Starter and Pro plans. Set up a recurring invoice and Due On Time creates it on your schedule, emails it to the client and sends automatic payment reminders if it is not paid.

Work out the due date with the net 30 calculator. If the client pays late, use the payment reminder email templates. Or let Due On Time email the invoice and send the reminders for you. Compare plans.
