What to include on a hourly invoice
- Your name or business name and your contact details
- The client's name or company and their billing email
- A unique invoice number, the invoice date and the due date
- The billing period the hours cover
- One line per task, day or week: what you did, the hours and your hourly rate
- Any different rate, such as rush or weekend work, on its own line
- How you round time, for example to the nearest 15 minutes
- Expenses, if your agreement allows them, on separate lines
- The total due, the payment terms and how to pay you
In the free invoice builder, put the details that have no field of their own, such as the billing period and how you round time, in the Notes field, as in the sample.

How to write hourly lines
Each line is a quantity (the hours) times a unit price (your hourly rate). Write hours as decimals: 15 minutes is 0.25, 30 minutes is 0.5 and 45 minutes is 0.75. So 4 hours 15 minutes is 4.25 hours.
Group the hours in a way the client can check. Use one line per task for project work, one line per week for ongoing work, or one line per day for short jobs. Avoid a single line such as "40 hours of work": clients question it and pay it more slowly.
- By task: "New booking page: design and build (hours)"
- By week: "Website updates, week of 9 February (hours)"
- By day: "On-site support, 12 February (hours)"
Rounding, minimums and different rates
Say how you round time in your contract and on the invoice, for example "billed in 15-minute steps". Round each entry the same way.
If you charge a higher rate for rush, evening or weekend work, put those hours on their own line with the higher rate, as the sample does. If you have a minimum charge, such as one hour per call-out, say so in the description.
Keep a time log
Due On Time does not track time. Use a timesheet or a time-tracking app, and attach the log, or offer to send it, when you send the invoice. A log with dates and short task notes answers most questions before the client asks them.
For regular hourly clients, invoice on a fixed schedule, such as every two weeks or at the end of each month, so the client knows when to expect it.
Frequently asked questions
How do I make an hourly invoice?
Add one line per task, day or week. Put the hours as the quantity and your hourly rate as the unit price; the builder works out each line total and the invoice total. Add the billing period, your payment terms and how to pay, then download the PDF.
How do I write minutes on an invoice?
Write time as decimal hours: 15 minutes is 0.25, 30 minutes is 0.5 and 45 minutes is 0.75. So 2 hours 45 minutes is 2.75 hours.
Should I attach a timesheet to an hourly invoice?
It is a good idea. A timesheet with dates, hours and short task notes lets the client check the hours quickly, which helps you get paid on time.
How often should I send an hourly invoice?
For ongoing work, every two weeks or once a month is common. For a short job, invoice when it is done. Pick a schedule, put it in your agreement and keep to it.
Is this hourly invoice template free?
Yes. Fill it in and download the PDF for free. You do not need an account, and the PDF has no watermark.
Does Due On Time track my hours?
No. Due On Time does not have a timer or timesheets. Enter the hours from your own time log as the quantity on each line. On the Starter plan, Due On Time emails the invoice and sends automatic payment reminders.
After you send the invoice
Work out the due date with the net 30 calculator. If the client pays late, use the payment reminder email templates. Or let Due On Time email the invoice and send the reminders for you. Compare plans.
